Building a digital resource for art collectors

Collecting editioned artwork involves a significant amount of information.

A single work can have multiple editions or variants, each with different dimensions, production methods, edition sizes, publishers, release dates and original prices. At the same time, individual artists can have extensive catalogues spanning many years.

Art Collectorz needed to bring this information together within a single structured platform while making it straightforward for collectors to browse, search and contribute to the database.

Rather than creating a conventional publishing website, PilotBean used PilotSite as the foundation for a data-rich web application designed around the relationships between artists, artworks, editions and collectors.

The challenge

Art Collectorz set out to create a comprehensive online resource for collectors of editioned artwork.

The challenge was not simply presenting a catalogue of artworks. The platform needed to manage complex relationships between thousands of artists, artworks and individual editions while maintaining consistent structured information across the database.

Each artwork could contain detailed information including its artist, publisher, release date, edition size, dimensions, medium and original release price. Different editions of the same artwork could also have their own characteristics and imagery.

Alongside managing this volume of structured data, the platform needed to enable its community to contribute information, allowing the database to continue growing without relying solely on a central editorial team.

The solution

PilotBean developed Art Collectorz using PilotSite, extending the platform to provide the specialist content and data structures required for a large-scale art database.

Artists, artworks and editions are managed as interconnected records, allowing detailed information to be stored consistently while creating relationships that make it easy for visitors to move between artists and their work.

The result combines the content management capabilities of PilotSite with bespoke application functionality designed specifically around the needs of collectors.

Artist and artwork database

At the core of Art Collectorz is an extensive database of artists and their work.

Dedicated artist profiles provide information about individual artists alongside their catalogue of artworks, creating a central resource through which collectors can explore both established and emerging names.

Individual artwork records provide more detailed information about each work and its available editions, creating a structured historical resource rather than a simple image gallery.

Detailed edition management

Edition information is fundamental to the platform.

Art Collectorz can store detailed information about individual editions, including publisher, publication date, edition size, dimensions, medium and original release price.

Structuring this information within PilotSite allows multiple editions and variations of an artwork to be represented consistently while preserving the details that matter to collectors.

Community-generated content

One of the defining features of Art Collectorz is that its database can grow through contributions from its community.

Registered users can submit artworks and associated edition information, including images and detailed metadata.

PilotSite provides the underlying content and data management capabilities needed to incorporate these contributions into the wider database, enabling Art Collectorz to expand as collectors add new information.

Personal collections

Art Collectorz extends beyond artwork discovery by connecting database records with individual members.

Registered collectors can associate artworks with their own collections, turning the central artwork database into a resource that can also reflect individual ownership.

This relationship between artwork data and member information demonstrates how PilotSite can support functionality beyond conventional content publishing, combining CMS capabilities with application-specific data and user interactions.

Structured relationships

The value of the database comes not only from the amount of information it contains, but from the relationships between that information.

Artists are connected with artworks, artworks with editions, editions with publishers and members with the works they own.

PilotSite provides the underlying structure for managing these relationships consistently, allowing information entered in one part of the platform to become useful throughout the wider site.

Search and discovery

With a large and continually growing catalogue, helping collectors discover relevant information is an important part of the experience.

Visitors can browse artists and artworks and move between interconnected records, making it possible to explore an artist’s wider body of work or investigate the details of a particular edition.

New artwork releases and recently added artists also provide routes into the collection, helping surface new additions to the database.

Image management

High-quality imagery is particularly important for an art database.

The platform supports imagery across artists, artworks and individual editions, allowing visual information to sit alongside structured details such as dimensions, edition sizes and release information.

PilotSite provides the underlying management tools required to maintain these assets alongside the associated artwork records.

More than a traditional CMS

Art Collectorz demonstrates how PilotSite can be used as the foundation for much more than a conventional content-managed website.

While the platform provides the editorial tools required to manage content and imagery, its flexible architecture also supports complex data structures, member accounts, user-generated content and relationships between large numbers of records.

This allowed PilotBean to create a specialist application around the requirements of the art collecting community without separating the application’s functionality from its content management platform.

A platform designed to grow

An art database is never complete. New artists emerge, new works are released and existing works can have additional editions and information added over time.

Art Collectorz was therefore designed as an evolving resource rather than a fixed catalogue.

By combining PilotSite’s flexible content management capabilities with community contributions and bespoke data structures, the platform provides a foundation that can continue to expand as new artists, artworks and editions are added.

The outcome

Art Collectorz provides collectors with a dedicated online resource for discovering and documenting editioned artwork.

The platform brings together detailed artist, artwork and edition information within a single interconnected database while allowing its community to contribute to that resource and build collections around the works they own.

For PilotBean, the project demonstrates the flexibility of PilotSite beyond traditional website content management. By combining structured content, complex data relationships, user accounts and bespoke application functionality within one platform, PilotSite provides the foundation for a specialist digital product capable of growing alongside its community.
